Policies
The Office of Continuing Education realize that on occasion something unexpected may occur that would keep you from attending a training. All payments received by The Ohio State University, College of Social Work, Office of Continuing Education, to cover the cost of your enrollment in a training are subject to the program’s refund and cancellation policy.
Cancellation requests must be received by email to cswce@osu.edu so the office has a written record of the request. When cancelling an event please provide your full name used at registration, your email used at registration, the training date, and the training title. Your request is not considered complete until you receive a confirmation email from a staff member of the Office of Continuing Education.
Our live training events have an attendance capacity limit and waitlists may be used.
If a training is offered at no charge to participants, they tend to be more popular and can fill up quickly. If you can not attend a free training event, participants are still asked to alert the Office of Continuing Education so that their spot can be opened to others interested in the learning event.
For Live training events that require an enrollment cost:
- Requests to cancel must be made 5 or more business days prior to the training/event to receive a full refund of your total payment.
- Any cancellation received at least 1 business day prior to the scheduled training/event is eligible for a transfer to a training of the same cost or less offered during the same calendar year. Cancellations received the same day as the scheduled training are not guaranteed to be eligible for a transfer.
- No refunds or transfers will be provided for no-shows on the training date or any time after the training/event begins.
- CSW Field Fee Waivers are non-refundable. However, you may apply the registration cost of the original training toward another one in the same calendar year. The CSWCE office will provide you with an updated discount code.
- Cancellation of Asynchronous courses and Certificate Programs are subject to a $20 administrative cancellation fee due to the learning management system requirements and are subject to the same requirements stated above.
There may be times when a training event must be cancelled or rescheduled by the Office of Continuing Education. When an event is cancelled or rescheduled the administrative staff will make every effort to notify registrants as quickly as possible. In these situations, a complete refund will be provided.
Asynchronous trainings are required to undergo review and updates. When an online self-paced training is discontinued, advanced notice will be given to participants if they are registered, and an alert will be posted for those interested in registering of the course closure dates. Once closed, participants will no longer be able to access course materials.
The Office of Continuing Education is committed to providing an optimal learning experience for both attendees as well as presenters. However, we do recognize there may be instances that require us to review circumstances that have caused concern for either a participant, an instructor, or both. Below outlines our process for addressing those concerns. Concerns brought to the attention of the Office of Continuing Education will be reviewed by the team as part of quality assurance processes that could change processes for the program when appropriate. Any questions or concerns regarding this process should be directed to the Director of Continuing Education.

Complaints will be reviewed by the Director of Continuing Education who will follow up with you to learn more about your concerns and to help resolve the issue. If the concern requires further consultation or a hearing to arrive at a satisfactory resolution, the concerns will be escalated to the Associate Director of Community Outreach and Engagement, Career Services and Continuing Education and the Dean of the College of Social Work who will make the final determination regarding what action will be taken to address the issue.

Participant Completion is based on the following:
- Timed attendance: All participants must sign in and sign out of all trainings to receive credit. Virtual trainings track attendance in ZOOM. To ensure attendance credit DO NOT share the ZOOM link provided as they are unique to each participant. Participants will only receive credit for the time they attend the training based on board requirements in 15-minute increments. If a participant attends a training for under 1 hour, they will not receive credit. If a training is approved to receive ACE credit through ASWB, participants must attend the full session to receive credit as partial credit is not available to anyone that arrives late, leaves early, or otherwise miss portions of the program.
- Engagement, assignments and posttest: All virtual trainings both Live and Self-Paced require participants to engage in the learning process. Webinar trainings will utilize polls and chat features to ensure engagement and participation. Virtual trainings utilizing ZOOM Meeting, ask that participants have their cameras on for active participation which may also include polls, discussions, role plays, and break out rooms. Self-Paced trainings may include activities and assignments that participants must complete to receive credit. All virtual trainings will have a posttest that participants must complete. Virtual Live trainings will add the posttest or knowledge check question to the evaluation which will not be scored, participants will be provided an answer key once completed for their records. Self-Paced trainings will have a scored posttest that requires an 80% pass rate.
- Training Evaluations: All CE trainings will require the completion of an evaluation to receive credit.Virtual Live Trainings will allow multiple ways for participants to complete the evaluation including a QR Code or survey link in the chat at the conclusion of the training, a pop up with the evaluation once the ZOOM window is closed, and an email with the link will be sent after the training. Evaluation links will be open for THREE (3) business days after the session. Once the evaluation link closes, participants will no longer be able to access the survey and will not receive credit. Self-Paced trainings will provide the evaluation in the course once the posttest has been completed and passed, and all course requirements met. Live in person trainings require participants to complete the evaluation prior to participant departure from the event.
Certificates and CE Broker Attendance
- Certificates will be emailed to participants within 7 business days of live virtual and in person events to those who meet course requirements. If a participant does not receive their certificate after 7 business days an error may have occurred, and they are asked to email cswce@osu.edu to inquire further.
- Certificates for self-paced virtual trainings will be provided at the conclusion of the training, once all requirements have been met in the course learning platform via download. Participants will only receive 1 certificate of completion for a virtual self-paced training even if they complete a course more than once.
- Participants who submit an active and eligible license number issued by the Ohio CSWMFT Board and/or the Ohio CDP Board will be reported to CE Broker within 14 business days. Self-Paced courses are reported to CE Broker twice a month.
The Office of Continuing Education strives to create safe spaces for learning for all participants. As a result, trainings are considered viewpoint-neutral space to ensure an optimal learning environment. It is asked that participants kindly keep comments & questions focused on training content. Comments deemed inflammatory or unprofessional may result in removal from the training. In addition, practitioners are ethically obligated to uphold client confidentiality. You are prohibited from working with clients while taking this training. If we become aware of any violation, we will report it to the appropriate board. Virtual trainings have opened the opportunity for learning to occur in unique spaces and it is asked that participants not drive during trainings for their own safety so that they can be actively involved in the learning process. The CE office reserves the right to remove any participants from a course whose behavior impedes the delivery of program content and/or negatively impacts the learning opportunities of other participants. Participants removed for these reasons will not be entitled to a refund of course fees.
- AI Usage – Technology assisted devices are not allowed unless requested to be used for accessibility reasons and submitted to our office following our accessibility and accommodation policy. If our team sees an AI Bot in a training, they will be removed. For further questions please reach out to cswce@osu.edu.
The Office of Continuing Education strives to host inclusive, accessible events that enable all individuals, including individuals with disabilities, to engage fully. At registration, participants are asked if they require any accessibility or other learning accommodations. All virtual live trainings held in ZOOM are provided with captioning regardless of request. The CE team follows The Ohio State University accessibility policies and standards for trainings including ensuring self-paced trainings have been captioned and offer transcripts. Participants can also reach out to the Office of Continuing Education at least 14 days prior to the training event date via email at cswce@osu.edu to ensure their accommodations or requests are noted and able to be met. If requests are made less than 14 days prior to the event, the staff will make every effort to meet the request.
